MailTick (“we”, “us”, “our”) provides secure email and related productivity tools. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

1. Our privacy commitments

• Encryption by default. Your emails and account data are protected with industry-standard encryption in transit and at rest. We design MailTick so that your messages remain private and are always encrypted when stored and sent through our service.
• No ads. We do not display advertising in MailTick.
• No sale of personal data. We do not sell, rent, or trade your personal information to third parties for their marketing purposes.
• Minimal data use. We collect and process only what is needed to operate the service, keep it secure, and improve it.

2. Information we collect

Depending on how you use MailTick, we may process:

• Account information — such as your name, email address, billing details, and authentication credentials.
• Email content and metadata — messages you send and receive, attachments, labels, contacts, and related mailbox data needed to provide email service.
• Usage and device data — log data such as IP address, browser or app type, timestamps, and error reports to maintain security and reliability.
• Payment information — processed by our payment provider; we do not store full card numbers on our servers.
• Support communications — when you contact us for help.

3. How we use your information

We use your information to:

• Provide, maintain, and secure the MailTick email service;
• Encrypt, store, sync, and deliver your mail and attachments;
• Process subscriptions, invoices, and refund requests;
• Detect abuse, fraud, spam, and security incidents;
• Respond to support requests and communicate service updates;
• Improve features and performance in aggregate, privacy-respecting ways.

4. AI features and LLM providers

MailTick includes optional AI-powered features such as email summaries, search assistance, and chat. To provide these features, we use third-party LLM API services operated by MailTick — you do not need to connect or supply your own API keys.

• When you use an AI feature, we send only the minimum content necessary to fulfill your request (for example, the text you ask us to summarize or search).
• That content may be processed by our LLM provider partners solely to deliver the feature you requested.
• We do not use your mailbox content to train public AI models.
• You can choose not to use AI features. Core email functionality does not require them.

5. How we share information

We do not sell your personal data. We may share limited information only when necessary:

• With infrastructure and payment providers that help us operate MailTick under strict contractual obligations;
• With LLM API providers we use to power AI features, as described above;
• When required by law, valid legal process, or to protect the rights, safety, and security of MailTick and our users;
• In connection with a merger, acquisition, or asset sale, with notice where required by law.

6. Data retention

We retain your account and mailbox data for as long as your account is active. If you delete your account, we delete or anonymize your personal data within a reasonable period, except where we must retain certain records for legal, security, or billing purposes.

7. Security

We apply technical and organizational measures designed to protect your data, including encryption, access controls, and monitoring. No method of transmission or storage is 100% secure, but we work continuously to safeguard your information.

8. Your rights

Depending on your location, you may have rights to access, correct, delete, export, or restrict processing of your personal data, and to object to certain processing. Contact us at privacy@mail-tick.com to exercise these rights.

9. International transfers

MailTick may process data in countries other than your own. Where required, we use appropriate safeguards for cross-border transfers.

10. Children

MailTick is not intended for children under 16. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may also be communicated by email or in-app notice.
